1.General
1.1 The website HellenicMotoTours.com (the “Website”) is operated by Mototours Global Adventures Ltd. (the “Company”), which specializes in planning and organizing tours in Greece, Cyprus, and the Balkans.
1.2 Access to and use of the Website is subject to the terms and conditions outlined in this Terms and Conditions document (the “Agreement”). Please read the Agreement carefully, as browsing the Website and performing actions on it indicate your acceptance of the terms contained herein, and it forms a binding contract between you and the company.
1.3 We specialize in organizing, managing, and planning motorcycle road and off-road tours. Our tour leaders are professional guides who have undergone extensive training, and they are sometimes accompanied by another local guides and technical team. However, it is important to remember that a tour is a dynamic experience, and we are also subject to unforeseen constraints and changes.
1.4 The tour routes are as outlined in the quotes and on the Website. However, there may be occasions where we need to modify the tour itinerary due to factors beyond our control, including but not limited to weather conditions, political and security situations, road closures, government directives and more.
1.5 We make every effort to schedule tours during favorable weather conditions for motorcycling. However, the compnay is not responsible for adverse weather conditions, and no refunds will be issued due to such conditions.
2. Registration Conditions
2.1 Any traveler wishing to participate in a tour is required to agree to the tour terms provided on the page of each tour under “Tour Terms” tab. The traveler confirms that they have read this document (Terms and Conditions) and agrees that it will apply to them and be binding.
2.2 The registration conditions, including payment terms, are unique to each tour and will therefore be published on the booking page of each tour.
2.3 Each traveler is required to ensure that they are physically capable and fit to participate in the tour program.
2.4 The company reserves the right to deny a traveler’s registration for any of its tours or to terminate a tour for a participant if, in its opinion, the traveler may be at risk, may disrupt the proper conduct of the tour, or may disturb other members of the group.
3. Cancellation Policy
3.1 To cancel a tour, notification must be sent via email or through the contact page on the website.
3.2 The cancellation policy is unique to each tour and is therefore detailed on the booking page of each tour under the “Tour Terms & Appendices” tab.
3.3. It is advisable to obtain trip cancellation insurance from an insurance provider.
4. Tour Cancellation by the Company
4.1 The viability of the tour is subject to a minimum number of registered travelers. If the minimum number of participants is not reached, the company reserves the right to cancel the tour up to 10 days before the departure date. In case of cancellation, the company will refund the travelers who have registered the full amount paid but will not be liable for any compensation.
4.2 The participant acknowledge that force majeure may prevent the company from delivering the tour as described. In such cases, the company will not be held liable.
4.3 The company reserves the right to modify the tour schedule for various reasons, including but not limited to, war, adverse weather conditions, riots, safety concerns, or operational issues. As a result, the itinerary, including the tour routing, attractions, and accommodations, may need to be adjusted. This may also lead to the tour finishing earlier or later than initially planned.
4.4 The companyis not liable for any additional costs or losses incurred by the participant due to changes in the tour schedule. This includes, but is not limited to, extra hotel bookings, car rentals, or non-refundable airline tickets. In some cases, it may be necessary to alter the tour schedule, modify itineraries, or substitute hotels, cities, tour guides, and other travel arrangements. We recommend that your travel insurance covers trip interruption.
4.5 Minor changes to the scheduled routes or accommodations will not be considered significant alterations to the services provided, as long as these changes do not substantially impact the overall character of the booked tour.
4.6 The company may terminate a traveler’s participation in the tour group due to inappropriate behavior and/or health issues, at the sole discretion of the tour leader (tour guide).
4.7 A tour leader is authorized to stop any activity, such as riding, rafting, or similar, at their discretion, due to inappropriate behavior and/or health or security concerns.
5. Information for Travelers
In the event of any contradiction between the provisions of these terms and those provided during the group meeting and/or in communication with the company’s representatives, the terms outlined in this Agreement will prevail, unless the information was provided in writing.
6. Passport and Entry Visas
6.1 Every traveler is required to have a valid passport with at least six months of validity (from the date of return to their home country) and at least three empty pages.
6.2 If a participant requires an entry visa, they must arrange for it before the tour date. It is the traveler’s responsibility to provide the necessary documents as per the company’s instructions.
6.3 In the event that a traveler is denied entry to a country, the company is not responsible and will not bear the associated costs.
6.4 The inability to obtain a visa/entry permit to a country does not constitute grounds for cancellation and does not entitle the consumer to a refund.
6.5 The cost of obtaining a visa is the responsibility of the traveler and will not be refunded in case of cancellation.
7. Accommodation
7.1 We offer tours with a variety of accommodation levels, according to what is available in the destination countries. Information regarding the type/rating of hotels for each tour can be found on the tour page under the “Tour Terms & Appendices” section.
7.2 We invest significant effort in finding and selecting the best accommodation options along the tour routes. However, changes to the hotel or accommodation may occur. It is important to note that each area has several alternative accommodations, and one will be chosen by the team based on availability from the various suppliers.
7.3 We cannot guarantee adjoining rooms during the stay, but will make efforts to accommodate special requests. In any case, the company will not be held responsible and will not be required to compensate if the traveler does not receive the requested room.
7.4 Hotel rating criteria vary from country to country. The company strives to choose hotels with a high standard of tourism, as much as possible, but will not be held liable if the hotel quality is lower than expected based on its rating. Sometimes, there may be differences in room standards within the same hotel.
7.5 The tour price includes hotel accommodation in double or twin rooms. If a participant is traveling alone and wishes to share a double room, we will attempt to find a roommate in the same situation. If a roommate cannot be found, a single supplement will apply. A limited number of single rooms are available for an additional cost on a first-come, first-served basis, but availability cannot be guaranteed.
7.6 If a single room was initially confirmed by the hotel and the participant paid the corresponding supplement, but during the tour the hotel is unable to provide the single room as confirmed, we will reimburse the participant the proportional amount paid for the single room.
8. Meals
In most tours, meals are provided on a half-board basis. Some tours include breakfast only. Please refer to the specific itinerary of each tour for detailed information.
9. Motorcycles
9.1 The company organizes motorcycle tours to various destinations in Greece, Cyprus, and the Balkans. The company maintains a fleet of different motorcycles in each destination.
9.2 The motorcycles provided to the client will be of the model as listed on the website and/or in the price quote or of the same category.
9.3 The traveler must ride in accordance with the company’s policies and local laws.
9.4 The company is not responsible for any damages to the motorcycles during the tour. The motorcycles are insured in accordance with the laws of each country, and the travelers are subject to the terms and agreements regarding motorcycle rentals, including excess participation in the event of damage, as specified in the rental agreement.
9.5 The traveler must prepare a credit card deposit of €1500 in advance, which will be held as a deposit until the motorcycle is returned in the same condition it was rented.
10. Tour Leader
10.1 The company’s tour leader team consists of experienced guides and has undergone thorough training.
10.2 The leader’s decision is final on all matters that may impact the safety or well-being of any participant, including but not limited to the riding competency of any Participant, changes to the itinerary due to unforeseen circumstances, or the dismissal of a participant from the tour.
10.3. If you fail to comply with the leader’s decision or disrupt the well-being of the group, the leader may order you to leave the tour immediately, without any right to a refund. In such cases, the company will not be responsible for the participant’s return travel or any related costs.
11. Medical Insurance
11.1 The company does not provide travel insurance. All travelers are required to have comprehensive medical insurance, including coverage for medical treatment, accidents, repatriation, trip cancellation, bodily injury, and any damages related to the tour.
11.2 For the avoidance of doubt, the company is not a party to the agreement between the traveler and the insurance provider, and assumes no responsibility for insurance-related matters. The company will not be held liable for any lack of insurance coverage, loss, or damage to the traveler’s belongings during the tour. Any insurance claims related to a traveler’s failure to attend or discontinuation of the tour due to illness, injury, personal issues, or any other reason must be made directly with the insurance provider. The company will not be involved in any claims or disputes.
11.3 For clarity, the provisions in this document take precedence over any oral representations or information provided to the traveler.
12. Payments and Deposits
12.1 We accept the following payment methods for your convenience:
- Credit Card: We accept payments via major credit cards including VISA, Mastercard, American Express or any credit card that can be processed by the online payment gateway.
- Bank Transfer: You can make a payment via electronic bank transfer. Our bank details will be provided separately after your booking request.
- Revolut: Pay quickly and securely with Revolut. Simply select Revolut as your payment method during checkout and follow the instructions to complete your payment.
- PayPal: Secure online payments through PayPal. Simply follow the payment link provided in our confirmation email to complete your transaction.
12.2 The company reserves the right to change the price (increase or decrease) at any time.
12.3 To confirm your reservation, a deposit of 30% of the total tour cost, as indicated on the tour’s webpage, is required upon registration.
12.4 The remaining balance must be paid in full no later than 30 calendar days prior to the tour’s start date.
12.5 Failure to pay the balance by the due date will result in the cancellation of the participant reservation.
13. Pricing
13.1 The price of our tours includes only the items specifically listed in the ‘What’s Included’ section on each tour’s webpage. To clarify, the following items are not included in the price and are the responsibility of the participant(s), and do not form part of the contract:
- Airline tickets.
- Personal travel, accident, and medical insurance.
- If you are bringing your own motorcycle: third-party motorcycle insurance, breakdown cover, or any other vehicle insurance.
- Personal spending money, meals, dinners (except where specified), optional excursions, side activities, and other extras.
- Personal documentation (e.g., passport, visas, if required).
- Fuel, tolls, and traffic fines.
- Additional transportation for you or your motorcycle in cases where the participant or their motorcycle cannot continue beyond the temporary assistance provided by the company.
- Any other item not explicitly included in the price.
13.2 No refund will be issued for any unused services included in the tour price.
14. Traffic Laws and Group Travel Regulations
14.1 Participants must comply with all local laws, customs, traffic regulations, and our group riding safety. Failure to do so, or failure to adhere to the group travel requirements as set by our staff, may result in the cancellation of the contract and withdrawal of the rental motorcycle. In such cases, no refund will be issued.
14.2 If our staff believe that a participant is not following traffic laws or is riding in a manner that could pose a danger to themselves, passengers, other participants, or bystanders, the staff reserve the right to issue a caution, cancel the contract, and secure the rental motorcycle. No refund will be issued in such cases.
14.3 If a participant using their own motorcycle violates these rules, our tour staff may exclude them from the tour to ensure the safety of other participants. In such cases, all tour services will be terminated, and the participant is responsible for any resulting fines or legal actions.
14.4 Participants are responsible for any traffic tickets issued during the tour. A service charge will apply for all unpaid tickets.
15. Changing Participants or Tours, Transfer of Booking
15.1. You may change the passenger or pillion once at no additional cost. Any further name changes will incur an administrative fee of €50 per change.
15.2. You may transfer your tour booking to another participant up to one (1) calendar month before the tour’s start date, provided the new participant meets all necessary requirements for the tour.
15.3. Participant changes must be requested in writing via email or website’s contact form and are subject to written confirmation from the company. The new participant must complete and sign a booking form and a liability waiver.
15.4. If a participant wishes to transfer their booking to a different tour date or an alternative tour, this will be treated as a cancellation of the original booking, and the cancellation terms outlined in Clause 3 will apply. A new booking must be completed for the alternative tour or new tour date.
16. Luggage
16.1. When a support vehicle is included in the tour, each participant may store either one soft bag or one medium-sized suitcase in the vehicle. Essential or personal items, such as a passport, money, camera, sunscreen, and beach or daywear, should be kept in the motorcycle’s panniers.
16.2. The company is not responsible for any loss, damage, or delay in the delivery of luggage. Any such incidents should be covered by the participant’s personal travel insurance policy.
17. Our Motorcycles on Tour
17.1. If a motorcycle is provided to the participant as part of the tour, its rental cost is included in the tour price.
17.2. We will make every effort to provide the participant with the motorcycle model originally confirmed. If it becomes necessary to substitute a different model after confirmation, we will notify the participant as soon as possible. If the participant does not wish to accept the substitute model, they may cancel the tour without penalty and receive a full refund of their deposit.
17.3. Unexpected or uncontrollable circumstances, such as mechanical failure, collision, damage, or theft, may require a last-minute motorcycle substitution, even after the tour has begun. In such cases, the company reserves the right to replace the confirmed motorcycle with a similar model. If no equivalent replacement is available, a prorated refund will be issued for any difference in value.
17.4. The motorcycle provided by the company is insured according to the terms outlined in the rental agreement.
17.5. The participant’s responsibilities and obligations regarding the use of the rental motorcycle are specified in the rental agreement”
17.6. If a participant damages their motorcycle during the tour and it becomes unrideable, they may be required to complete the tour in the support vehicle. We cannot guarantee on-the-spot repairs during the tour.
18. Participant Responsibilities & Obligations
18.1. Participants must carry the following valid and current documents during the tour:
- Passport
- Driver’s (Rider’s) License issued in their country of residence
- Non-EU citizens whose licenses are not printed in English must also have an International Driving Permit
- If using their own motorcycle:
- Vehicle registration document and/or title
- Valid third-party liability insurance
18.2. If a visa is required, it is the participant’s responsibility to obtain it in advance. The company accepts no liability for any failure to secure the necessary visa before the start of the tour or rental period.
18.3. Participants who are unable to complete the tour due to missing, incorrect, or lost documents will not be eligible for a refund.
18.4. It is the participant’s responsibility to seek professional medical advice before traveling and to take all necessary health precautions. Participants must inform us of any medical, physical, or mental conditions that may impact their participation in the tour, including any issues that arise during the trip.
18.5. Riding gear is required for all participants. Helmets are mandatory.
18.6. Participants bringing their own motorcycles must:
- Ensure their motorcycle is in proper working condition, legally compliant, and suitable for the tour. The motorcycle must have valid third-party liability insurance covering use in the tour countries. HellenicMotoTours does not provide insurance for participant-owned motorcycles, nor do we require a damage deposit.
- Arrange for their own roadside assistance, breakdown recovery, and damage repairs. While our staff may assist where possible, we do not assume responsibility if we are unable to provide help.
- Cover all costs related to damage, accidents, or any other issues affecting their motorcycle.
- Assume full responsibility for their motorcycle’s operation and any pillion passenger they carry.
- Acknowledge that our company, the tour leader, or the support team is not liable for any accidents, injuries, or fatalities involving the participant unless legal negligence on our part is proven.
18.7. By signing the booking form, participants agree to follow the authority and decisions of the tour leader. If a participant’s health or behavior is deemed to endanger the tour, they may be excluded from all or part of the trip.
18.8. Participants agree NOT to:
- Allow anyone other than the authorized individuals listed on the booking form to use the rental motorcycle.
- Permit any authorized rider to operate the motorcycle (rental or personal) if they lack a valid license, are banned from driving, or are otherwise unfit to ride.
- Operate the motorcycle themselves if they lack a valid license or are banned from driving.
- Use the rental motorcycle off-road unless under the company’s supervision or guidance.
- Use the rental motorcycle as collateral, sell it, or dispose of its parts, accessories, or documents in any way that infringes on the owner’s rights.
- Park the rental motorcycle on the road overnight or in a hazardous location during the day.
- Take the rental motorcycle outside the country without prior confirmation.
19. Nature of Motorcycling and Acceptance of Risks
19.1 By making a booking, you acknowledge and accept the following:
- You are aware that motorcycle tours involve inherent dangers and risks, some of which may include physical exertion beyond your preparation, exposure to extreme weather conditions that can change unexpectedly, remoteness from medical services, and challenges in evacuation if you are injured.
- You understand that the thrill and enjoyment of motorcycle travel are partly derived from the inherent risks of riding a motorcycle, which often exceeds the safety levels of everyday activities. These risks contribute to the excitement of the experience and are among the reasons you choose to participate.
- You recognize that this type of travel requires flexibility, as you may need to adapt to alternative routes, changes in accommodation, or unexpected situations that may delay the schedule. The tour leader’s decisions are final in such circumstances, and you agree to comply with these decisions.
- You understand that the tour’s route, schedule, itineraries, and amenities may change without prior notice due to unforeseen circumstances such as illness, mechanical issues, strikes, road closures, weather events, or other unpredictable factors.
- Participants confirm they possess sufficient motorcycle riding skills to safely and competently participate in the booked tour.
- The difficulty level of the ride will be clearly indicated on our website, enabling you to make an informed decision before booking. However, it remains your responsibility to ensure that you have the necessary skills, licenses, and equipment to safely complete the tour.
19.2 Participants, along with their baggage and personal belongings, travel entirely at their own risk, acknowledging that motorcycle tours involve certain inherent risks.
20. Our Responsibilities
20.1. The company is responsible for delivering the services as described in the tour details, in accordance with local standards.
20.2. The company is not responsible for flight delays or schedule changes that may cause participants to arrive late or miss the start of the tour. In such cases, no refunds will be issued.
20.3. The company is not liable for any loss, theft, or damage to participants’ personal belongings, regardless of whether they are carried on the company support vehicle, transported via a shipment arranged by the company, or stored at the company premises.
20.4. The company is not responsible for any injuries, fatalities, or damages incurred during any outdoor activities suggested as optional additions to the tour such as swimming, river rafting, ziplining, hiking etc.
20.5. The company is not responsible for any accidents. Participants acknowledge and agree that the company and its agents are not responsible for ensuring their personal safety and cannot be held liable for any incidents that may result in injury, death, or damage to the participant, their property, or their legal heirs and assigns.
21. Force Majeure
Force majeure refers to any extraordinary and unforeseeable event beyond our control, the consequences of which could not have been avoided despite taking all reasonable precautions. These events include, but are not limited to: war or the threat of war, riots, civil unrest, industrial disputes or strikes, unavoidable technical issues with transportation, airport closures or congestion, terrorist activity, natural disasters, industrial accidents, fire, theft, flooding, and severe weather conditions.
In the event of force majeure, the company and its staff cannot be held liable for any disruptions, and no refunds or compensation will be provided.
22. Complaints
If a participant believes that the company has not fulfilled its obligations, they must first notify the tour leader to allow for corrective action, if possible.
If the issue remains unresolved, the participant must submit a formal complaint in writing within 14 days of their return. Complaints must include the tour name, dates, and a detailed description of the issue, and should be submitted via email or our contact form on hellenicmototours.com
The company will investigate the matter and respond within 14 days via email. Failure to follow this procedure may affect our ability, and that of our suppliers, to investigate the complaint, as well as the participant’s rights under this contract.
23. Jurisdiction
This contract and all disputes arising from it are governed by Cypriot law and fall under the jurisdiction of the Cypriot courts.
If any provision of this contract is deemed invalid, unlawful, or unenforceable by a court, that provision will be severed to the extent necessary, and the remaining terms will continue to be valid and enforceable.
Acceptance of Tour Terms and Conditions
By booking or participating in our tours, or using any of our services, participants agree to be bound by these Terms and Conditions.
I have read and accepted the company terms and conditions. I acknowledge that motorcycling carries inherent risks, including traffic conditions, road and weather factors, and the actions of other participants. I voluntarily accept these risks.
I confirm that I am an experienced, responsible, and physically capable motorcyclist with a valid motorcycle license. If participating as a passenger, I understand the potential dangers associated with motorcycling.
Furthermore, I acknowledge that the company, its owners, operators, and agents are not responsible for my personal safety. They cannot be held liable for any incident that may result in injury, death, or damage to me, my property, or my heirs and assigns.
